前台/行政助理 (JKR-SH-2022BO01) Day-to-day Tasks 日常工作任务 · Provide high-quality assistance and cover for the Office Manager when needed. 在需要时为办公室经理提供 高质量的配合与协助。 · Work closely with the office building property management office and various office vendors. 与办公楼物业管理处及办公室供各家应商密切合作。 · Keychain holder and manage to activate/cancel office front door access cards/Base entry permits. 保管备用钥匙串并负责开通/注销办公室门禁卡/大楼出入证。 · Act as the first window greet our clients/visitors and offer teas/drinks with professional way. 作为第一道窗口迎接我们的客户/访客,并以专业的方式提供茶水饮料。 · Answer the switchboard with good telephone manner – all calls need to be announced and it is essential to take accurate notes, then leave messages to whom may concern as quickly as possible. 用良好的语态接听总机——所有来电都需要通报,并准确记录信息,随即尽快留言给有关人士。 · Make reservation of co-working space meeting rooms for Account Team and manage to setup all details of internal meetings (e.g. number of guests, drink or snack requirements). Set up video conferences, flip chart, markers, projector warm-up and timely tidy away after use. 为客服团队预订共享办公空间会议室,并落实内部会议的所有细节(例如:访客人数、饮料或点心要求)。 设置视频会议、移动挂板、白板笔、投影仪预热并在使用后及时归位。 · Arrange local courier and international express (e.g. SF Express/DHL). 安排当地快递和国际快递(如顺丰/DHL)。 · Ensure an up-to-date Office Contact List in light of staff on-boarding/off-boarding status. 根据员工入职/离职状态,提供最更新版本的办公室联系表。 · Keep track on the remaining balance of JKR branded notebooks and JKR logo accessories, remind Marketing/Production colleagues when the stock is running low. 追踪 JKR 品牌笔记本和印有JKR 标识的用料库存余额,在库存不足时提醒市场部/完稿师同事。 · Send out an email or a WeChat group reminder to the studio when necessary to draw group attention. 必要时向全体同仁发送邮件或微信群组提醒,提请大家的关注。 · Make travel bookings and transportation arrangements for business team when needed. 在需要时为业务团队进行差旅预订及交通安排。 · Place stationery/office supply purchase orders for the studio and prepare Petty Cash Float Report to Office Manager. Make sure that the first-aid kit is upheld at the reception according to H&S needs. 为办公室订购文具/办公用品,并向办公室经理呈报备用金月报。 确保根据健康安全管理规范在前台放置急救包。 · Put a keen on the replenishments of office/pantry supplies on daily/weekly basis, according to the business needs. 每天/每周致力于按需补给办公室/茶水间用品。 · Check JKR mailbox on weekly basis and timely distribute incoming mails or correspondences. 每周检查 JKR 信箱,及时分发收到的信件。 · Order team lunches & afternoon teas for internal activities when requested. 根据需求为内部活动订购团队午餐和下午茶。 · Keep the reception area tidy, the studio clutter free and glass doors fingerprint free. 保持前台接待区整洁,办公区域有序无杂乱以及玻璃门无指纹。 · Keep stationery cupboard, coffee machine and refrigerator tidy and up to date. 保持文具柜、咖啡机和冰箱整洁并保持洁净状态。 · Keep the printer machine on normal service condition and A3/A4 paper timely replenished. 保持打印机处于正常使用状态并及时补给 A3/A4 纸张。 · Ad hoc admin projects or running errands as per Office Manager’s instructions. 根据办公室经理的指示,临时支援项目或出外勤。 · Occasional weekend day or weekday evening monitoring during office renovation period (backup with Office Manager). 办公室装修期间偶尔的周末白天或工作日晚上监工(与办公室经理轮班)。
任职要求
At least 2 years' related experience [fresh graduate with high passion is also highly welcome] 至少具有2年相关经验【怀揣热情的应届毕业生也同样欢迎】 Experience in the creative industry will be a good plus but not a must 有创意行业经验将是一个很好的加分项,但不是必须 High level of attention to detail 高度关注细节 Ability to problem solve, bring up with foreseeability and propose right solutions 具有解决问题的能力,作出预判并提出正确的解决方案 Fluent in both written and verbal English (mother tongue should be Mandarin) 流利的书面和口头英语(母语须为普通话) Keep transparent and open during intercommunications with all levels of staff 在与各级员工的互通中保持坦率开朗 A good sense of humour with positive energies who conveys ‘can-do’ spirit 具备良好的幽默感以及正能量,传达“可为”的精神 A self-starter, fast-learner and multi-tasker with good judgement in a variety of situations 在各种情况下保持良好判断力的自我启动者、快速学习者和多项任务执行者 Loyalty, honesty and reliability (the most important) 忠诚、诚实和可靠(首要考虑项) Ability to make each visitor get a welcome experience when visiting JKR 能够让每个来访者在访问 JKR 时获得一份受欢迎的体验
